🎯 Objective
Define the standardized process for integrating a Word course created via ChatGPT and validated by the academic team into the
Dubai Precious Metals University e-learning platform (dubai-precious-metals-university.com),
powered by MasterStudy LMS (GAMMA system).
This ensures each new course is properly structured, published, and accessible to students and instructors.

Inputs:
- Validated Word course file (see ELE-PRO-014-A)
- Course metadata: RNCP title, level, subject, duration
- Program schedule and assigned instructor
Outputs:
- Course published and visible on the GAMMA / MasterStudy LMS
- Instructor assigned with editing rights
- Students enrolled in the corresponding module
⚙️ Process Steps
- 1. Retrieve the Validated Course File
Access the shared e-learning Drive and locate the finalized Word document under:
cours / Supports de cours / [RNCP Title] / [Level] / [Subject] / [Course Name].
Ensure the file is named correctly and that all chapters and formatting are complete. - 2. Log in to the E-learning Platform
Connect to the administrator interface of the platform:
dubai-precious-metals-university.com/wp-admin
Navigate to MasterStudy LMS → Courses. - 3. Create a New Course Entry
Click Add New Course and fill in the key fields:- Course Title: exact title from the syllabus
- Description: short academic presentation (5–10 lines)
- Category: corresponding program or RNCP title
- Level: Bachelor / MBA / Executive
- Duration: total hours (e.g. 20h, 30h, etc.)
Insert a representative thumbnail image or banner (provided by the communication team).
- 4. Upload the Course Content
Scroll to the Curriculum section.
For each chapter of the Word file:- Click Add Lesson
- Copy the corresponding section of the Word document
- Paste and format within the text editor
- Optionally add multimedia content (videos, PDFs, external links)
- Click Save Lesson
Continue until the entire course structure is reproduced.
- 5. Configure Quiz or Evaluation (if applicable)
If the course includes an evaluation:- Navigate to MasterStudy LMS → Quizzes → Add New
- Enter the title and add questions following ELE-PRO-007-A
- Attach the quiz to the appropriate lesson or module
Ensure that the scoring and completion rules are consistent with program requirements.
- 6. Assign the Instructor
In the right-hand panel of the course editor:- Locate the Instructor field
- Select the correct instructor (must already have an Instructor role)
- Click Update
Verify that the instructor can access and edit the course after publication.
- 7. Define Access Parameters
In the Course Settings section:- Choose Free or Enrolled Students Only
- Disable the purchase button (no payment process enabled)
- Activate progress tracking and certificate generation
Ensure that the start and end dates correspond to the academic calendar.
- 8. Test the Course
Before publishing:- Preview the course as a student (use a test account)
- Verify that lessons load correctly and navigation is smooth
- Confirm that videos, quizzes, and downloads work properly
Once validated, record “Course verified” in the ELE-LOG-008 register.
- 9. Publish the Course
Change status to Published and click Update.
Check that the course appears correctly on the public site (category, title, and thumbnail). - 10. Notify Teams
Send a short message via Zoho CRM or internal email to:- The assigned instructor (to confirm course activation)
- The Academic Coordinator (for final validation)
- The Admissions Department (to inform students if applicable)
Add a note in Zoho CRM: “Course [Title] integrated and published on [Date]”.
✅ Controls
- Functional test of each new course before publication
- Quarterly verification of course content and active links
- Cross-validation between Drive course list and LMS catalog

- Word course file archived in Google Drive
- Integration confirmation email or CRM note
- Course verification log (ELE-LOG-008)
