🎯 Objective

Define the standardized process for uploading, updating, and optimizing multimedia content on the
Dubai Precious Metals University e-learning platform
(dubai-precious-metals-university.com),
built with the MasterStudy LMS theme.
This procedure ensures that all media files (videos, PDFs, audio, links) are correctly formatted, accessible, and aligned with pedagogical objectives while maintaining platform performance.

👤 Who

  • Instructor
  • E-learning Administrator
  • Academic Coordinator

🧩 Inputs / Outputs

Inputs:

  • Validated multimedia materials (videos, slides, PDFs, links)
  • Associated course module and learning objectives
  • Media storage guidelines (naming convention and size limits)

Outputs:

  • Media correctly uploaded and displayed in the LMS
  • Optimized file size and format for performance
  • Updated records and backup in WorkDrive

⚙️ Process Steps

  1. Prepare Media Files
    Before upload, verify that:

    • Video format is MP4, encoded in 1080p or 720p
    • PDF files are compressed and named according to the convention:
      Program_Module_Title_Date.pdf
    • External links are accessible and open in a new tab

Validate the pedagogical quality and content accuracy with the Academic Coordinator before publication.

  2. Access the Platform
    Log in to
    dubai-precious-metals-university.com/wp-admin.
Navigate to MasterStudy LMS → Courses and open the relevant course.
In the Curriculum section, select the lesson or module where the content will be added.
  3. Upload Media
Depending on the type of content:

    • Video: Upload directly from your computer or embed using a secure link (YouTube, Vimeo, or private link from WorkDrive).
    • PDF / Slides: Click Add Lesson → choose Lesson Type: Text or File → upload the PDF.
    • External Resource: Add the URL and check “Open in new window”.

Click Save Lesson after each upload.

  4. Optimize Media for Performance
    Ensure that:

    • Total media size per module does not exceed 500 MB.
    • Video playback loads within 3 seconds on standard broadband.
    • PDF files are under 10 MB when possible (use compression tools).

If performance issues are detected, re-encode or compress the media before re-uploading.

  5. Preview and Validate
Preview the course as a student user:

    • Check that videos play correctly and PDFs open fully.
    • Verify all links and attachments display properly.
    • Confirm that titles and descriptions match the course objectives.

The Academic Coordinator provides final validation before publication.

  6. Publication
    Once validated:

    • Set the course or lesson to Published.
    • Update course metadata if new media changes duration or content scope.
    • Notify the instructor and students if the update modifies an active course.
  7. Archiving and Backup
    • Store a copy of all uploaded media in WorkDrive › Academic › Multimedia › ELE-PRO-008-A.
    • Maintain a log of uploads (date, course, instructor, file name).
    • Record in the MasterStudy admin note field: “Media Updated – [date]”.
