🎯 Objective

Define the procedure for creating and formatting courses in Word format using ChatGPT and the official course generation prompts,
to produce structured content ready for integration on the Dubai Precious Metals University e-learning platform (dubai-precious-metals-university.com), powered by MasterStudy LMS.

Inputs:

  • Excel file “Syllabus des cours” listing all sessions to produce
  • Validated RNCP title and subject
  • Access to ChatGPT and Google Drive

Outputs:

  • Word document containing the complete course
  • File uploaded to the shared Drive (e-learning workspace)
  • Course ready for integration on the LMS (GAMMA / MasterStudy)

⚙️ Process Steps

  1. 1. Identify the Course to Produce
    Open the Excel file “Syllabus des cours” and select the course to create.
    Courses highlighted in orange are the priority ones to produce.
  2. 2. Generate the Course Outline (Prompt 1)
    Copy the Prompt 1 model and replace the variables in green:

    • Matière → Subject
    • Niveau → Level (e.g., Bachelor 3, Master 1, etc.)
    • Titre RNCP → RNCP title concerned
    • Nom du cours → Course name

    Paste the full prompt into ChatGPT and execute it.
    The AI generates the detailed course outline (plan or “sommaire”).

  3. 3. Copy the Generated Outline
    Once the outline is displayed, click on “Copier” in ChatGPT (avoid manual selection) to preserve formatting.
  4. 4. Generate the Course Chapters (Prompt 2)
    Copy the Prompt 2 model and replace the same variables (subject, level, RNCP title, course name),
    then specify the chapter number to generate.
    Paste the previously generated outline under the section “📌 Sommaire du cours” in the prompt, then send it to ChatGPT.
    Each Prompt 2 corresponds to one complete chapter.
  5. 5. Repeat for Each Chapter
    When the first chapter is complete, repeat step 4 with the next chapter number until the full course is generated.
    As you go, copy and paste each chapter into a Word document.
  6. 6. Format the Word Document
    Once all chapters are complete:

    • Ensure consistent formatting (titles, subtitles, lists, spacing)
    • Check spelling and coherence of examples and terminology
    • Save the document in .docx format using the course title
    • Rename the ChatGPT conversation according to the following model:
      [Classe]-[Titre RNCP]-[Nom du cours]
      Example: BBA3-CGM-Synthèse et partage des évolutions juridiques et concurrentielles
  7. 7. Upload the Course to the Shared Drive
    Access the shared e-learning Drive using the institutional credentials.
    Follow the storage hierarchy:

    1. cours
    2. Supports de cours
    3. RNCP title folder
    4. Class level (BBA1, BBA2, MBA1, etc.)
    5. Subject folder
    6. Create a folder with the course name
    7. Upload the finalized Word document

    Confirm that the file name and path follow the correct naming convention.

  8. 8. Integration on the E-learning Platform
    Once uploaded, the E-learning Administrator proceeds to import the file into the LMS (GAMMA or MasterStudy) following the separate procedure ELE-PRO-015-A.
