🎯 Objective

Define the steps for editing, optimizing, and publishing videos related to events, conferences, or promotional campaigns, ensuring consistent visual identity and professional quality across all media.

🧭 What

This process applies to all recorded audiovisual materials, including conferences, interviews, student testimonials, and promotional clips.

📋 Steps – How

1️⃣ File Reception and Organization

  • Transfer raw footage from cameras or smartphones to Zoho WorkDrive (folder: Events → [Event Name] → Raw Files).
  • Classify clips by camera angle, speaker, and sequence.
  • Check video and audio quality before editing.

2️⃣ Editing Preparation

  • Import selected clips into Adobe Premiere Pro.
  • Synchronize audio/video tracks and adjust exposure and color balance.
  • Use Adobe Audition for noise reduction and equalization.
  • Create intro/outro templates consistent with the Group’s branding (logos, lower-thirds, title animations).

3️⃣ Editing and Graphic Integration

  • Assemble the main sequence following the storyboard or shooting plan.
  • Insert titles, transitions, and animated graphics using After Effects.
  • Add subtitles in English and French when relevant (Office 365 Word → caption file import).
  • Use stock footage or music from Envato Elements ensuring license compliance.

4️⃣ Rendering and Quality Control

  • Export the video in Full HD (1080p) or 4K depending on the target platform.
  • Check:
    • Sound levels (-6 dB average, -3 dB max)
    • Color balance and sharpness
    • Subtitle synchronization
  • Submit the final version for review to the Quality Officer and Communication Director.

5️⃣ Publication and Archiving

  • Publish the video on:
    • YouTube / Vimeo (official channel)
    • Facebook / Instagram / TikTok (short formats or teasers)
    • Website (embedded player via WordPress/Elementor)
  • Store master files and editable projects in Zoho WorkDrive → Audiovisual / Archives.
  • Fill in the Post-Production Report (Excel template on Office 365) for traceability.
