🎯 Objective

Ensure timely publication and updates of DPMU events on the official website, maintaining consistency between web, social media, and internal communication channels.

Communication Officer / Event Coordinator / Quality Officer

🧭 What

This process applies to all academic, institutional, and corporate events displayed on the DPMU website and related channels.

📋 Steps – How

1️⃣ Event Data Collection

  • Receive event details from the responsible department (title, date, venue, description, visuals).
  • Confirm event approval by the Communication Director.
  • Create a task in Zoho Projects for traceability.

2️⃣ Content Preparation

  • Prepare the event text and visuals in Office 365 Word and Adobe Photoshop.
  • Optimize visuals for web (1200x675px, WebP).
  • Upload images to the Media Library in WordPress.

3️⃣ Integration in WordPress

  • Go to Events → Add New (WordPress backend).
  • Fill in all fields: title, date/time, location, and description.
  • Add call-to-action buttons (Register / Learn more / Watch live).
  • Associate tags and categories (Event type, Campus, Department).

4️⃣ Publication and Promotion

  • Publish the event on the DPMU website.
  • Share the link through:
    • Zoho Social (Facebook, Instagram, TikTok, X)
    • Zoho Mail newsletter campaign
  • Archive the event post in Zoho WorkDrive after completion.

  • Zoho CRM / Zoho Projects / Zoho Social / Zoho WorkDrive
  • Adobe Photoshop / Office 365

🕓 Frequency

Whenever a new event is planned or an existing one requires updates.

📋 Quality Indicators

  • Event published at least 10 days before the scheduled date
  • All visuals optimized and validated
  • Zero discrepancies between website and internal schedule
